This episode of The Level Up Podcast looks at how a business can keep serving customers when the person it usually relies on is unavailable. Host Paul Alex Espinoza argues that the first step is choosing one important task and examining what another person would need to complete it.
He suggests that written instructions alone are rarely enough, and that a practice handoff with a backup person can reveal missing steps. For solo operators, he recommends documenting a task they repeat so help can be added later.
Listeners will learn how to identify tasks that affect customers during an absence and how to prepare work to continue without one person.

Welcome to the Level Up Podcast. I'm your host, Paul Alex. I went from being a cop to an 8-figure entrepreneur that helps average people like you and me make money every single day. I created this podcast to help you get motivated and to crush your goals. Let's win together.
Remember, I have your 6. Get ready to level up right now.
What's up everyone? Welcome back to the Level Up Podcast. I'm Paul Alex, and today I've got a question for you. If you were unavailable tomorrow, what would stop working? Would customers still get an answer?
Would someone know which jobs were due? Or would everybody be waiting for information that exists only in your head? That's worth finding out before you need the day off. I want strong leaders and systems so my businesses don't depend on me personally handling every problem. That's a goal I've talked about because I know what it's like to have work consume too much of my life.
A business needs a way to keep serving people when the usual person isn't there. That applies to you and to anyone else the work relies on. Pick one important task and walk through it. Where does the person find the information? What decisions do they need to make?
What happens when the usual situation changes? Who can help if they get stuck? Maybe the job itself is simple, but the order details live in one person's messages. Maybe a supplier knows only one contact. For Find the missing pieces before assuming someone else can take over.
Give the backup person the instructions and appropriate access they need. Then, let them try the task while help is available. See where they hesitate. Fix what wasn't clear. A set of instructions becomes more useful when somebody actually uses it.
If you're working alone, start with a task you repeat often. Writing down how it works helps you prepare for future help and notice steps you've been doing the hard way. You don't need to document the whole company in one sitting. Start where an interruption would affect customers first. Build from there.
Bottom line? Freedom includes knowing the work can continue without everything waiting on one person. Find the task that needs a backup. Make the information accessible to the right people. Practice the handoff.
Give yourself evidence that the business can keep a promise when the usual routine changes. Thanks for tuning in to the Level Up Podcast. I'm Paul Alex reminding you that building a dependable business includes preparing other people to carry responsibility. Explain the work, test the handoff, and as always, keep leveling up. Thanks for listening up to the Level Up Podcast.
